Subject: Handover notes for the Northfield office move. Hello everyone, as most of you know, I start my parental leave on Friday, and Priya Desai will lead the office move from Monday morning. These notes cover where the project stands, what is still open, and who to ask about each part. Please read them before our call on Thursday at 10:30 and send me any questions by the end of the day.⏎
Where we stand. The lease for the new floor at 214 Harbour Road was signed on March 3, and the landlord has confirmed that the keys will be ready on April 28. The fit-out is about 85% complete. Desks, chairs and storage arrived last week; the meeting rooms still need screens, and the kitchen is waiting for its final electrical check. The total budget is $186,000, and we have spent or committed $164,250 so far, which leaves $21,750 for anything unexpected.⏎
The schedule. We move in three groups so that the help desk and the sales team are never offline at the same time. Group A (finance, legal and HR) packs on May 1 and works from the new floor on May 4. Group B (sales and marketing) follows on May 6. Group C (operations and the help desk) moves last, over the weekend of May 9, because their phones and servers need the most care. Each group has a named lead, and the leads meet every Tuesday at 9:00 until the move is done.⏎
IT and equipment. The network at the new office has been tested, and the Wi-Fi covers every room except the small store room at the back, which does not need it. Laptops move with their owners; desktop computers, printers and the two large plotters will be moved by the IT team. Please label every cable and charger with your name and desk number. Anything without a label after May 10 goes into a box marked "unclaimed" in the post room for two weeks.⏎
Open issues. There are three things I could not close before leaving. First, parking: the building has 40 spaces for 65 people, so we need a fair way to share them, and Priya has a draft proposal. Second, the old office has to be cleared and cleaned by May 31, or we pay another month of rent ($12,400). Third, two suppliers have not sent their final invoices. Please do not approve any invoice for the move without checking it against the purchase order list in the shared folder.⏎
Contacts. For anything about the building, call Tom Walsh in facilities on extension 4417. For IT questions, raise a ticket as usual and mark it "office move" so that it reaches the right queue. For the budget and invoices, ask Grace Lin in finance. For everything else, Priya is your first point of contact from Monday, and she has full authority to make decisions on my behalf while I am away.⏎
A final word. Moving an office is a long list of small tasks that all have to happen in the right order, and so far every one of them has been done on time. That is thanks to all of you: the people who packed early, answered questions quickly and put up with a noisy floor for six weeks. I am sorry to miss the first coffee in the new kitchen, but I know the move is in very good hands. Thank you, and see you all in the summer.⏎
Next steps for this week. Monday: Priya and I walk through the open items together. Tuesday: the group leads confirm their packing lists and the number of crates they need. Wednesday: IT sends the cable labels and the seating plan to every team. Thursday: our call at 10:30, followed by a short visit to the new floor for anyone who wants to see it. Friday: my last day, and the first crates leave for Harbour Road at 4:00 in the afternoon.
